This policy has been drafted in accordance with the Swiss Federal Act on Data Protection (FADP/nDSG), as our practice is based in Switzerland and we work exclusively with clients based in Switzerland. This policy applies to simplyreframe.com and to all services we provide.
2. Who is responsible for processing your data

Natalie Kendell is the data controller ("Verantwortliche") under the FADP for the personal data processed through this website and in the context of the counselling practice.

Data you provide via the contact form: your message, the reason for your inquiry, and any information about your health or mental wellbeing that you choose to share
Data about your visit to our website: IP address, browser type, pages visited, referring website (via cookies and similar technologies, depending in part on settings within our hosting platform, Squarespace)
Data from marketing and advertising channels: interactions with our ads on Google Ads, Meta (Facebook/Instagram), and Google Business Profile
Please note: data concerning your health is considered sensitive personal data ("besonders schützenswerte Personendaten") under the FADP. We handle this information with particular care and only process it based on your consent, in the context of the counselling relationship, or where necessary to fulfil our professional and legal obligations, including a psychologist's duty of confidentiality.
4. Why and on what basis we process your data
Unlike the GDPR, the Swiss FADP does not set out an exhaustive list of legal bases: processing is generally permitted provided it complies with the general principles of lawfulness, transparency, purpose limitation, data minimisation, and accuracy (Art. 6 FADP). For sensitive personal data, such as health data, a specific justification is required, such as your consent or the counselling agreement.
We process your data for the following purposes. We handle inquiries submitted via the contact form and the intake process in order to prepare and perform the counselling agreement, and based on your consent. For providing our counselling services, including the processing of health-related data, the basis is performance of the counselling agreement together with your explicit consent. Hosting and technically operating our website via Squarespace is based on our legitimate interest. Analysing and improving our website is based on your consent to cookies, or otherwise on our legitimate interest. Showing relevant advertising through Google Ads, Meta Ads, and Google Business Profile is based on your consent to tracking. Finally, we process data where necessary to comply with legal and professional obligations, such as confidentiality and record-keeping requirements, for which the basis is legal obligation.
5. Cookies and similar technologies
Our website, hosted via Squarespace, may use cookies to ensure the website functions properly and, where applicable, for analytics and advertising purposes via Google Ads and Meta Ads. Please refer to the cookie settings on our website for more information or to adjust your preferences.
6. Sharing data with third parties
We only share your data with third parties where necessary for the purposes described above, including Squarespace (website hosting and processing of the contact form), Google (Google Ads, Google Business Profile), and Meta (Facebook/Instagram Ads).
Where required, we enter into data processing agreements with these parties to ensure an appropriate level of protection. We never sell your data to third parties.
Squarespace, Google, and Meta may process data in the United States, a country not considered to provide an "adequate" level of data protection by the Swiss Federal Council. Transfers to such countries therefore only take place where appropriate safeguards are in place, for example because the receiving party is certified under the Swiss-U.S. Data Privacy Framework, or through standard contractual clauses in accordance with Art. 16/17 FADP.
7. Retention period
We do not retain your personal data longer than necessary for the purposes for which it was collected. Data from the counselling relationship (file/record data) is retained in accordance with the applicable professional and record-keeping obligations for psychologists in Switzerland.
8. Your rights under the FADP
You have the right to request access to the personal data we hold about you (Art. 25 FADP), to request correction of inaccurate data (Art. 32 para. 1 FADP), and to request deletion, blocking, or destruction of your data where processing is unlawful (Art. 32 para. 2 FADP). You also have the right to data portability for data you have provided yourself, where applicable (Art. 28 FADP), the right to object to certain types of processing, and the right to withdraw your consent at any time. In addition, you can lodge a complaint with the Federal Data Protection and Information Commissioner (FDPIC/EDÖB), the Swiss data protection supervisory authority.

9. Security
We take appropriate technical and organisational measures to protect your personal data against loss, misuse, unauthorised access, disclosure, or alteration, as required under Art. 8 FADP.
